Men's Constitution
Article 1: Name
The name of this organization shall be called the Men's Tennis Club of Virginia Tech.
Article 2: Purpose
The purpose of the club is to provide competitive tennis playing ground for the students of Virginia Tech. Members must attend 7 practices per semester. Matches will be held between other school’s club teams and other school’s varsity teams. The team will compete in the Virginia Men’s Club Tennis League and participate in tournaments held by the USTA for College Club Tennis. This organization will provide a unit that will not only practice but play the game of tennis in a fashion that will represent every activity it participates in.
Article 3: Membership
Membership shall be open to any current student, faculty, or staff of Virginia Tech. Practices are open to any alumni of the team. The team will consist of no more than 40 players. Tryouts will be administered during the second or third week of the Fall semester each year. The top ten players from the previous season, plus officers, after the graduated members have been accounted for, do not have to try out. Players who are outside the top 10 will be ranked by the top 10 members. Players coming from a college varsity roster will be placed at 10 and higher.
Article 4: Officers
The officers of this organization shall be the President, Vice President, Treasurer, Fundraising Chair, Technical Adviser and Social Chair. A person may simultaneously occupy one or two spots, but the President, Vice President, and Treasurer must be separate individuals. These positions make up the Cabinet. The Cabinet upon a unanimous vote may create other positions. Only current members of the team may hold positions in the cabinet.
Article 5: Duties of the Officers
Section 1: The President shall:
A) Preside over all meetings with the team.
B) Call meetings with the Cabinet when he feels fit, and with the entire team when necessary.
C) Be the coach of the team. As a coach, he will be in charge of keeping a strong and honest ladder.
D) Be in charge of tryouts.
E) Be in charge of practice. He will bring the tennis balls and hold on to any court equipment.
F) Shall be expected to attend all practices and matches unless there is a sufficient excuse for an absence.
G) Be the contact person to the other teams and schedule all matches.
H) Pass down the original “Tennis Club of Virginia Tech Constitution” to the new President.
I) Pass down the “Things to do each year or if officer names change” each year to the new President.
J) Be in charge of all trophies and memorabilia.
Section 2: The Vice President shall:
A) Assist the President in any duties asked of, within reason.
B) Update the Rec Sports display case.
C) Fill out forms in the Rec Sports office.
D) Remind the President of upcoming deadlines.
Section 3: The Treasurer shall:
A) Keep records of all the financial and budget transactions.
B) Buy all equipment asked of by the President.
C) Collect dues.
D) Provide a breakdown of the year's finances for the next year of cabinet members.
Section 4: The Fundraising Chair Shall:
A) Think of and organize fundraisers.
B) Be in charge of reaching out and sustaining alumni outreach.
C) Be responsible for the club’s Alma Mater account.
D) Assist the Treasurer when asked to do so, within reason.
Section 5: The Technical Adviser shall:
A) Be in charge of both teams websites.
B) Update the schedule, ladder, phone list and any other portions of the website.
C) Have other school’s match scores sent to you, and update the league website “Positions” section.
D) Update photos on the website.
E) Update contact list on League web-site.
F) Update the listserv.
G) Update the GobblerConnect.
H) Update the club’s social media accounts.
Section 6: The Social Chair shall:
A) Organize and coordinate gatherings open to every member of the team.
Article 6: Elections and Appointments
Section 1:
Elections of the officers of the cabinet shall be made at the end of the Spring semester two weeks prior to exams.
Section 2:
Candidates must be nominated for a position.
Section 3:
Officers are elected by majority vote sent out via a poll.
Section 4:
If a position becomes vacant during the year, a meeting and an election will be held to fill that position.
Article 7: Meetings
Meetings will be held at the President’s discretion and may only be held if a quorum of 50% of the team members is present.
Article 8: Dues
The amount of dues shall be decided on by the Cabinet and shall be paid to the treasurer within two weeks after tryouts.
Article 9: Fines
A week after missing the deadline for team dues results in a $15 fine and then an additional $10 for each week that it is delayed. If a player is to drop from a tournament and has not found a replacement within 2 weeks of the tournament start date they will be fined one-third of the cost of their room for the weekend.
Article 10: Attendance
Section 1:
Members must be able to attend 5 practices a month. If a player does not attend, a $15 fine is awarded.
Section 2:
Attendance to all meetings is required of all cabinet members.
Section 3:
Must play at least 1 challenge match per semester. Challenges must be replied to within 48 hours, and time must be agreed upon within 10 days of initial contact. Any exceptions to this rule may be granted, by the Cabinet’s discretion.
Article 11: Fundraising
Must participate in at least 1 fundraising event per semester. Every member is required to fundraiser $25 per semester. Members who do not raise that amount are fined $25 at the end of the semester.
Article 12: Amendments
Amendments to this constitution may be submitted in paper to the President by any member of the team during a meeting. That amendment is read out loud to the team and questions and comments are to follow. After questions and comments are made about the amendment, voting will take place. A unanimous vote will be voted by the cabinet.
Article 13: Ratification
This constitution shall become effective upon ratification by a unanimous vote of the members of this meeting on this day 09/12/19.
