Women's Constitution
Article 1: Name
The name of this organization shall be called the Virginia Tech Women's Club Tennis Team
Article 2: Purpose
The purpose of the Women's Club Tennis Team is to provide female Virginia Tech students with a competitive atmosphere in which they can continue their tennis after high school. Our goal is to not only practice and compete, but to develop friendships that will last a lifetime. The Women’s team will play and compete with the Men's team at practices and tournaments.
Article 3: Membership
Membership is open to any Virginia Tech full-time or part-time student. Faculty and staff may become members to practice with the team but may not compete. The team will consist of no more than 36 players. Tryouts will be held over the course of two days. All players from the previous year must try out again. All officers along with the top 10 players from the previous year will automatically make the team, but will need to help administer tryouts. Members are considered to be players who are listed on the roster and have turned in all required paperwork and dues. If the club is fined for an individual member not turning in the appropriate documents, that individual will be responsible for reimbursing the club the amount of their fine.
Article 4: Officers
The officers of this organization are the President, Vice President, Treasurer, Technical Advisor, Fundraising Chair, and Social Chair. These officers will work together to run and maintain the club. Officers are elected by current members in the Spring for the following year, and remain an officer for a one year term.
Article 5: Duties of the Officers
Section 1: The President shall:
A) Oversee all club operations
B) Schedule and coordinate matches.
C) Initiate and maintain club ladder
D) Be in charge of equipment for practices and matches
E) Oversee financial account
F) Complete paperwork in the Rec Sports Office
G) Be in charge of all trophies and memorabilia
H) Run practice
Section 2: The Vice President shall:
A) Assist the President in any duties asked of, within reason
B) Update the display case
C) Complete paperwork in the Rec Sports Office
D) Remind the President of any upcoming deadlines
E) Run Practice
F) Schedule challenge matches
G) Aid the President in financial matters concerning the club
Section 3: The Treasurer shall:
A) Keep records of financial transactions
B) Design and order team uniforms and team store items
C) Aid the President and Vice President in maintaining the financial account
Section 4: The Technical Adviser shall:
A) Update the website when needed, including contact info, roster, and schedule
B) Manage the Facebook and Instagram accounts and posts
C) Maintain the current ladder on a weekly basis
Section 5: The Fundraising Chair shall:
A) Organize and initiate fundraising events throughout the year
B) Establish a goal to raise “x” amount of dollars over the year
Section 6: The Social Chair shall:
A) Organize events with the Men's Club Tennis Team to enhance team bonding
B) Create a place for the women on this team to make lifelong friendships
Article 6: Elections and Appointments
Section 1:
Elections of the following years officers will be made the spring of the previous year.
Section 2:
The women on this team may sign up to run for any officer position.
Section 3:
An anonymous survey will be created online so female members can vote for officers after written speeches have been sent out.
Section 4:
If a position becomes vacant during the year, a meeting for election will be held to fill that position.
Section 5:
An officer may be removed from their position if they are not doing their respective role.
Article 7: Meetings
Meetings will be held at the President’s discretion. All officers must attend the meetings. A meeting with all members in attendance will occur at the beginning of each semester to discuss the direction of the club for that semester.
Article 8: Dues
Section 1:
Dues are to be paid within a week of the first member meeting. After this date, $15 will be added to the cost for the following week. $25 will be added to anyone's dues that are paid after two weeks.
Section 2:
Dues include a full uniform (top and bottom), travel to and from tournaments, and hotel expenses. If women on this team would like to purchase any additional jackets or gear they may do so through the team store.
Section 3:
Players who have not paid their dues will not be able to travel on a tournament.
Article 9: Attendance
Section 1:
Members must be able to attend 5 practices per month.
Section 2:
Unless a legitimate excuse is presented to and approved by the President, a member that does not attend the correct amount of practices by the end of the semester will be fined $15 and will not be favored to travel to tournaments.
Section 3:
Attendance to all officer meetings is required unless a legitimate excuse is presented to and approved by the President.
Section 4:
Must play at least 1 challenge match per semester. If a player chooses to challenge another player, the challenger must have a response within 48 hours. The date/time to play must be agreed upon within 10 days of initial contact. The President may grant exceptions to this rule if the situation allows it.
Section 5:
If a player has been selected to travel to a tournament and determines they can no longer attend within 2 weeks of the tournament start date, that player must find a replacement. If they cannot find a replacement, they will be required to reimburse the club in the amount of their share of the hotel fee (i.e. if there are 3 people to a room for 2 nights, they would pay ⅓ the price of 1 room for 2 nights), not exceeding $75.
Article 10: Fundraising
Must participate in at least 1 fundraising event per semester. All members of the club will be responsible for raising $25 by reading day at the end of the semester. They may do so by any means (i.e. bake sale, friends/family). They will turn this money in to an officer who will check their name off and turn it in to McComas. If a member does not pay this amount by the due date, they will be responsible for paying the club in that amount.
Article 11: Ratification
This constitution shall become effective upon ratification by a unanimous vote of the members of this meeting on this day 09/12/19.
